1. Platform Overview

The Akweya Community Development Association (ACDA National) digital platform is a centralized, institutional management system designed to connect all Akweya indigenes originating from Otukpo Local Government Area, Benue State, Nigeria, and organized branches nationwide.

Unlike commercial social networks or generic templates, ACDA National enforces strict community governance rules:

  • Single Nominal Roll: Prevents duplicate registrations and verifies true indigenes.
  • Financial Integrity: Payments are immutable accounting events. No silent deletion or arbitrary editing of posted records.
  • Active Obligation Accounting: National dues owed by a branch are calculated dynamically from its count of Active Verified Members.
  • Complete Auditability: Every verification, status change, branch transfer, and financial entry is recorded in an append-only audit trail.

2. System Roles & Responsibilities

ACDA National implements strict, database-level Row Level Security (RLS). Privileges depend on your assigned role:

Can register, view personal identity profile, inspect active ACDA Verification ID, check personal dues and targeted obligations, upload bank transfer receipts, and track personal payment history forever.

Custodian of the branch membership roll and branch finances. Can verify new members, record cash payments, review and confirm bank transfer receipts, manage branch dues and targeted social contributions, manage payment subheads, and generate monthly branch reports.

Executive head of the branch. Holds full oversight of branch membership, can verify/suspend/archive members, create Secretary user accounts, review branch financial performance, and authorize member branch transfers.

Federation-wide authority. Manages National dues rates, monitors branch obligation calculations, manages the National Officers Directory, closes financial periods, and audits federation activity.

3. Member Registration

Prospective members can register publicly without administrative pre-approval.

  1. Visit the registration page at acdanational.pages.dev/register.html.
  2. Provide required identity fields: First Name, Surname, Village of Origin, Clan Name, State of Residence, and Branch Selection.
  3. Upload a clear profile photograph directly from your mobile device or computer.
  4. Submit the form to receive your temporary identity receipt and initial UNVERIFIED status.

4. ACDA Verification ID

Every registered member is assigned a unique, immutable identifier upon registration:

Format: AKW + 5 Zero-Padded Digits Example: AKW00001, AKW12345
  • The ACDA ID stays with the member forever, even if they transfer to another state branch or sub-branch.
  • The ID is prominently displayed on member profiles, physical nominal rolls, and payment receipts.
  • It cannot be altered by any administrator once issued by the database.

5. Member Verification & Status Lifecycle

A new registrant begins in an UNVERIFIED state and does not contribute to branch National obligations until confirmed by branch leadership.

Status Rules:

  • Verified: Member is active. Contributes to active member counts and current National obligation calculations.
  • Suspended: Excluded from active verified count and current National obligations. Note: Previously accrued debt remains payable before reinstatement.
  • Archived: Soft-deactivated (e.g., duplicates or inactive records). Preserves financial history. May be reinstated by Branch Admin if justified.
  • Deceased: Permanent terminal status. Excluded from active counts and financial obligations. Preserved permanently in historical memory rolls. Cannot be reinstated.

6. Member Portal Guide

Log in with your registered email address and password at /login.html.

Key Actions in Member Portal:

  • View ACDA Identity: Check your ACDA Verification ID (`AKW#####`) and branch affiliation.
  • Track Financial Balance: See total obligations, total payments made, and current outstanding balance.
  • Upload Bank Transfer Evidence: Make a transfer to your branch bank account, then upload your payment screenshot/receipt (JPEG or PNG, under 2 MB). Your Secretary will review and confirm your payment.
  • View Payment History: Access all historical payment receipts forever, even after transferring branches.

7. Branch Administration Workflow

Branch Secretaries and Presidents manage branch operations through the Branch Dashboard.

How to Confirm Bank Transfer Receipts:
  1. Navigate to Branch Dashboard → Payments → Pending Evidence.
  2. Inspect the uploaded receipt screenshot and verified bank credit.
  3. Select the obligation(s) the payment settles from the dropdown menu.
  4. Click Confirm Payment. The payment transitions to `confirmed`, the member's balance reduces, and a payment reference (`ACDA-PAY-YYYY-######`) is issued.
Creating a Branch Secretary User Account:
  1. Branch Presidents navigate to Branch Dashboard → Branch Users.
  2. Enter the Secretary's registered email address.
  3. Assign the Secretary role for your specific branch. Privilege is strictly scoped to your branch.

8. Financial Management & Accounting Rules

ACDA National enforces real accounting rules rather than simple editable fields:

  • Immutability: Once an official payment is recorded or confirmed, it cannot be updated or deleted from the frontend.
  • Multiple Obligations Settlement: A single bank payment can settle one or multiple obligations by allocating specific amounts to each obligation dropdown line.
  • Pre-verification Debt: Dues begin accruing on the day a member is verified, unless the Branch Admin manually enters pre-existing debt prior to verification.
  • Evidence File Limits: Bank proof uploads strictly enforce **JPEG or PNG** format and a **maximum size of 2 MB**.

9. National Administration

National Administrators oversee all 36 Nigerian state branches, sub-branches, and FCT.

National Branch Obligation Formula:

Current Branch Obligation = (Active Verified Members in Branch & Sub-Branches) ร— (Current National Rate)
Historical Period Snapshots vs. Live View:
While current obligations update in real time as members are verified or suspended, closing a Financial Period takes an unalterable historical snapshot of the branch count and rate. Future membership changes will never mutate past period financial reports.

10. Member Branch Transfers

When an Akweya member relocates to a new state or sub-branch:

  1. The originating Branch Admin initiates a transfer via Members → Initiate Transfer, selecting the target destination branch.
  2. The member moves to the new branch in an Awaiting Verification / Unverified state.
  3. The receiving branch leadership verifies the transferred member upon arrival.
  4. Once verified by the new branch, the member is counted under the new branch's active population.
  5. All past payment history remains accessible to the member permanently.

11. Progressive Web App (PWA) Setup

ACDA National is an installable PWA that runs seamlessly on mobile devices and desktop computers.

How to Install:

  • Android (Chrome/Edge): Tap the "Install ACDA National" banner at the top of the landing page, or tap Chrome Menu (โ‹ฎ) → "Add to Home screen".
  • iOS / iPhone (Safari): Tap the Share button (square with arrow pointing up) → scroll down → tap "Add to Home Screen".
  • Desktop (Chrome/Edge): Click the install icon in the URL address bar or use the browser menu → "Install ACDA National".

12. Frequently Asked Questions (FAQ)

Q: What if I lose my ACDA Verification ID?

A: Log in to your member portal at any time to view your profile card. Your ACDA ID (`AKW#####`) is permanently attached to your account.

Q: Can a member belong to two branches at the same time?

A: No. The system database logically enforces that a member can belong to exactly one active branch at a time.

Q: Who sees the National Officers Directory?

A: The National Officers Directory is public and accessible to all members and visitors at /national-offices.html.

Q: What happens if a Secretary enters an incorrect cash payment?

A: Posted payments cannot be edited or deleted. An accounting adjustment (compensating transaction) must be recorded by authorized executive administration to correct the ledger while preserving full audit history.
